No More Waiting for Dashboards: How a 4-Hour Training Cut Analytics Requests by 70%

Self-service dashboards are analytics platforms that allow employees to create dashboards on their own without a data team. Popular solutions are Looker, Power BI and Tableau. However, employees often hesitate to use them, leaving the data team overloaded with dashboard requests. Is there a time- and budget-efficient way to overcome this? Our case with a Munich-based tech company shows that a focused, 4-hour customized training can deliver effective results.

Situation

Our client is a tech company in Munich experiencing hyper growth. To fulfill the increasing analytical needs, they recently purchased multiple licenses for a self-service dashboard tool. As the data team is overloaded with ad hoc requests, the goal was to enable other teams to build their own dashboards, reducing their dependency on the data department.

However, the vision did not become the reality. Dashboard tickets remained high, and the self-service dashboards were rarely used. Due to the lack of training, many employees did not feel confident to build their own dashboards. Yet the real issue lies deeper, as many were afraid of breaking the dashboard. Out of fear, they'd rather stick with what they are familiar with, e.g. Excel, instead of experimenting with something new.

What our client needs, is a training program that meets the following constraints:

  • Mixed Audience: Participants come from diverse departments, including Finance, Sales, Marketing, UX, and Tech.
  • Efficiency in Time and Cost: Given the roles of certain participants, training time is highly limited and must be used as efficiently as possible.
  • Triple Outcome: Our mission is to help participants generate immediate value from their data. This requires building confidence, transferring technical knowledge, and, most importantly, demonstrating how to quickly turn data into actionable insights.

Our solution was a half-day training — hands-on, in person, and fully customized. Here are our key methods:

Understanding how to use data often matters more than knowing how to operate tools. Sandbox Environment to Encourage Safe Experimentation

Our hands-on training takes place in a dedicated sandbox environment. This allows participants to experiment freely without fear of breaking anything, while keeping the production environment fully secure.

Success Condition: Every Participant Builds a Business-Ready Dashboard

By limiting the participant number to 12, we ensured the quality of the training. Every participant went out with one dashboard built on their own. Many immediately started building their own KPIs and extracting insights during the session.
